SUBDIVISION, CONDOMINIUM & ROADWAY DEDICATION PLAT
REVIEW POLICIES & PROCEDURES

This document is a guideline to inform preparers of the policies and procedures used to review and approve plats presented to our office.  We strive to always have someone in the office to approve plats but due to unavoidable circumstances there may be a vacancy.  You are encouraged to call ahead to ensure we can accommodate your plat approval or email the plat to ateffler@madisoncountyil.gov  for a review prior to making the trip to Edwardsville. 

Final Subdivision Plat Checklist (Note: Also Applies for Subdivision Vacation Plats)

  • Check ownership certificate to our property records.
  • Check for lot number on each lot.
  • Check if following certificates are present
    • Owners Certificate (Required)
    • All owners of record are listed on the plat. (If the property owner is a Trust, then the name of the Trust must be on the plat)
    • Name of Subdivision.
    • Notarized statement indicating the School District.
  • Notary Public’s Certificate (Required)
  • Surveyor’s Certificate (Required)
    • Is the subdivision inside or within 1.5 miles of any incorporated city, town or village?
    • Does the subdivision border upon any public waters?
    • Surveyor’s seal and signature.
  • County Clerk’s Certificate (Required)
  • City Council’s / Village Board’s Certificate (If Applicable)
  • Land Use Committee’s Certificate (If Applicable) *Must be recorded within 60 days.
  • Mined-Out Areas Certificate (When Necessary)
  • 911 Coordinator’s Certificate (Required if Land Use Committee Signed)
  • Maps & Plats GIS Division Certificate (Optional)

Final Condominium Plat Checklist

  • Check ownership certificate to our property records.
  • Check for unit numbers and floor elevations.
  • Check if following certificates are present:
    • Owners Certificate (Required)
    • All owners of record are listed on the plat. (If the property owner is a Trust, then the name of the Trust must be on the plat)
    • Name of Condominium.
    • Notarized statement indicating the School District.
    • Notary Public’s Certificate (Required)
  • Surveyor’s Certificate (Required)
    • Is the condominium inside or within 1.5 miles of any incorporated city, town or village.
    • Surveyor’s seal and signature.
  • County Clerk’s Certificate (Required)
  • Maps & Plats GIS Division Certificate (Optional)

Road Dedication Plat Checklist

  • Check Ownership Certificate to our property records (Required)
  • Check Notary Public’s Certificate (Required)
  • Check Municipality Certificate of acceptance / approval. (Required)
  • Check Surveyor’s Certificate (Required)
  • Maps & Plats GIS Division Certificate (Optional)
